Archive or Schedule Content

Recommended Content for Archiving

As you review your content inventory, which is a complete listing of all content found in your folder(s) in the CMS including html pages, managed assets, images, etc., consider archiving the following:

  • HTML pages for past events, activities, or projects – keep no longer than one academic year
  • HTML pages that haven’t been updated for more than two years – update with current information or archive
  • Images of students, faculty, staff, guest speakers, events, etc. that are more than two years old
  • PDFs for past events, activities, or projects – keep no longer than one academic year

Additional Recommendations

  • Review all pages featuring faculty, staff, and students
    • Remove anyone who has graduated, retired, or left the university.
    • Make sure all titles and contact information is correct.
    • Update images.
  • Review all pages that include course and/or program information
    • Content should reflect what is offered to currently enrolled students.

Archive content

  1. Select the page you wish to edit.
  2. In Edit mode, select Schedule from the toolbar

  3. Select an end date for the file view and select remove from site

  4. Publish the page as usual.
  5. Select the page in your browser. You should recieve an error message an the page will no longer show on your files listing.

UnArchive file

  1. In the workarea, select View and Archived Content from the toolbar

  2. Select Edit, Schedule and remove the selected date

  3. Publish page as usual.

Schedule content change

  1. Select the page you wish to edit.
  2. Edit the page content as desired
  3. Select Schedule

  4. Select a start date for the file to change and select remain on site

  5. Publish page as usual. the changes will go into effect on the date and time you have selected.
