Calendar (Formally Schedule)

The Calendar tool allows instructors to manage course-related or personal events. Instructors can view dates posted for courses, such as project due dates, office hours, and exam information, or you can add personal events to track group meetings, milestones, and deadlines.

Instructors can choose to share personal events with other users, groups, sections or org units; and view events that others have shared with you.

Course-related events are automatically shared with all users in the org unit (course) in which you create the event. Users can view course events that you post through the Calendar tool. Instructors can create course-related events in other tools and set them to appear in Calendar. This works with:

  • Checklist
  • Content
  • Discussions
  • Dropbox
  • Grades
  • Quizzes
  • Surveys

Access the Calendar tool

There are three ways to access the Calendar tool:

  1. Click the Opens the Calendar tool icon in the Events widget on a course homepage.
  2. Click the Calendar link on the navigation bar.
  3. Click the Opens the Calendar tool icon in the Calendar widget on a course homepage.

From the main Calendar page instructors can:

  • See a single day, week, or a month at a time.
  • Use the Day, Week, and Month tabs across the top of the page to change the calendar display. You can also click the date in the monthly and weekly view to switch to the day view.
  • View the events for a specific day clicking a specific date on the Date Picker widget and also on the Calendar Grid.

Add an event using New Event or drop-down menus

  1. Access the calendar from: Calendar navbar link, Events widget or Calendar widget.
  2. On the Calendar page, do one of the following:
    • Click on the New Event button on the top tool bar.
    • Click the drop-down Actions menu beside a date in the week or month view adn then New Event.
  3. Type a title for the event in the Title field.
  4. If desired, add a description by clicking inside the Description field.
  5. If desired, keep the event private by selecting the Private Event check box. This shows only that you have an event calendar on the day and time you set, but hides its details from other users.
  6. If desired, change the priority of the event by selecting one from the Priority drop-down menu.
  7. If desired, add a link in the Link field.
  8. Select a Start and End date/time for the event.
  9. If desired, repeat events by clicking on the Update button beside the Repeats check box and choose a pattern for the recurrence in the pop-up menu.
  10. In the Event Access area, select the appropriate radio button for a personal event or course-related event.
  11. If desired, share a personal event with other users by selecting the Share with other users checkbox, and add users.
  12. Click on the Save button, or to create another event click on the Save and New button.

Add an event with Quick Add

  1. Access the calendar from: Calendar navbar link, Events widget, or Calendar widget.
  2. On the Calendar page, click Quick Add.
  3. From the Quick Add window, type a title for the event in the Title field.
  4. Select the All day event check box if the event takes place for an entire day.
  5. Select a Start and End date/time for the event.
  6. Click on the Add button.

Change Calendar Settings

From the Settings page, instructors can set personal display properties for a calendar and choose which users can view your calendar.

  1. From the Calendar Areas, click Settings.
  2. Change the settings you want:

    calendar_choices
  3. Click on the Save button.

Edit an event

Note: You cannot change a course-related event to a personal event, however, all other fields are editable.

  1. Click the link for the event in the calendar on the Calendar page. Navigate to the appropriate date, or search for the event if you need to.
  2. Make the changes you want to the event’s fields.
  3. Click on the Save button.

Print your calendar

  1. On the Calendar page, select the day, week, or monthly view depending what you want to print.
  2. Navigate to the day, week, or month you want to print
  3. Click Print.
  4. In the pop-up window, click Print again.

Print an event

  1. On the Calendar page, click the link for the event.
  2. Click Print.
  3. In the pop-up window, click Print again.

Share a personal event

  1. In the Event Access area of the new or edit event page, select the Enable adding other users check box.
  2. Click the Add Users buttons.
  3. In the Add Users pop-up, select the check box beside users you want to share the event with.
  4. If you cannot find the users you want to share an event with, use the search function. You can set the search options to: search for users by first or last name only
    • search for users in different org units with the search options
    • search for users with specific roles
  5. If you want to check a user’s availability, click the View Availability icon.
  6. Click Add Selected when you have selected all the users you want to share the event with.

Delete an event

  1. On the Calendar page, click on the Delete Events button on the top tool menu.
  2. On the Delete Events page, choose a range of dates to search in.
  3. Click on the Search button.
  4. Select the check boxes beside the events that need deleted.
  5. Click on the Delete Selected button.

Search your calendar

  1. Click on the Search Events button on the top tool bar.
  2. Type the words or phrase and any wildcards into the Search For field.
  3. To narrow a search, click on the Show Search Options link and change the search operators:
    • Limit your search to just a title or just a description.
    • Search for just personal events, or within certain groups or courses.
    • Search for events in a specific date range.
    • Search for events with a specific priority.
  4. Click on the Search button.

From the search results you can view events, edit or delete events depending on permissions and whether you created the event.
