Services for Registered Distance Learners

The primary mission of Lehman Library is to support the learning and teaching needs of Shippensburg University students and faculty, including students taking courses from Shippensburg University at a distance (JCJC, Duquesne, Virtual University, Extended Studies, etc.).

The Lehman Library staff is concerned about students' success in finding the information needed to succeed in academic pursuits and is, therefore, committed to providing electronic and traditional library support services to students on the Shippensburg campus and to distance learners. Through the Library's homepage, students can link to online library services, library contacts, statewide library shared services, and many other resources. Although many of the services offered are open to the public, some require a valid University ID and library barcode number, and some are available only on campus. The following is information regarding our services to Shippensburg University's distance learners.

1. Getting a valid library barcode number: After you are registered, you will receive a Shippensburg University identification card containing your barcode number. The card will either be mailed to you or given to you by your instructor.

2. Borrowing Shippensburg University materials: Students are encouraged to come to the library for materials (must have valid ID # 65nnnnnnnnn in order to borrow materials). Please note that students are responsible for return shipping costs. Distance learners who are too far away to travel to Shippensburg have the following options for submitting requests:

a. Using ILL for books – If you would like Shippensburg University books delivered to your home address you may request them using the Interlibrary Loan online order form.

  • Go to the Interlibrary Loan page
  • Follow the directions under Books.
    If you have not already searched the library catalog or EZ-Borrow/PALCI, links are provided to these resources.
  • Click on the ILLiad link.
  • Log on with your SU email username, address, and password. You must use your SU email address. If you do not know what it is, go to http://info.ship.edu and click on Students. Then click on Get Email Password in the upper right corner. Follow the directions there.
  • Fill out your personal information. Under status choose "Distance Ed Grad." For Preferred ILL delivery method, select Mail to Address.Once you have entered you personal information, you will not be asked to enter it again. (If you want to change your personal information, you may scroll down to Change User Information on the ILLiad Main Menu.)
  • Click on Request a Book.
  • Fill in the information about the book. In the Notes field state that the book is owned by SU. Submit your request.

b. Using ILL for journal articles owned by SU that are not full-text online

  • Go to the Interlibrary Loan page
  • Click on the ILLiad link under Articles.
  • Log on with your SU email username, address, and password. You must use your SU email address. If you do not know what it is, go to http://info.ship.edu and click on Students. Then click on Get Email Password in the upper right corner. Follow the directions there.
  • Fill out your personal information. Under status choose "Distance Ed Grad." For Preferred ILL delivery method, select Mail to Address. Once you have entered you personal information, you will not be asked to enter it again. (If you want to change your personal information, you may scroll down to Change User Information on the ILLiad Main Menu.)
  • Click on Request a Photocopy.
  • Fill in the information about the article.In the Notes field state that the journal is owned by SU. Submit your request.

c. Our “Campus Only” databases: These databases are identified on the library web site with “Available only on the campus network”. If you need to search any of these databases, a librarian will do the search and send the results to you by email, fax or U.S. mail service. We encourage you to make your requests using the email through “Ask Us” under Services on the library home page at library.ship.edu. Alternatively, contact the Information Desk by telephone at 717-477-1474. Allow sufficient time for the librarians to search the databases and send the information to you.

3.Getting the materials from other libraries to you: Requests for materials held by other libraries can be requested through PALCI/EZBorrow (Books only) or our standard Interlibrary Loan (books and articles) procedures.

a. E-Zborrow/PALCI – Use the following procedures:

  • Go to the library home page at library.ship.edu
  • Click on Interlibrary Loan
  • Click on E-Zborrow/PALCI
  • Search the catalog.
  • When you find a book, click on the request button.
  • When the book arrives at the Shippensburg University Library Circulation Desk you will receive an email message indicating it is ready for PICKUP. When you receive this message, forward it to libcirc@ship.edu with your name, ship to address and ID#. Be sure to indicate that you are a distance learner. We will ship the book to the address provided by you via book rate. Students must allow sufficient time for these materials to arrive. If you do not forward the PICKUP message to libcirc@ship.edu the book will be held at the Circulation Desk for you to pick up.

b. ILL requests – Use the same procedures as outlined in 2b. Omit the Notes field statement.
Normally we will mail interlibrary loan books to you within two weeks after receiving the request from you. Books we be mailed to the address you provided when you registered as a first-time user. Since articles are delivered electronically, they may be received sooner. When filling out interlibrary loan request forms, you will be asked how much you are willing to pay should the lending library apply charges for photocopying or lending. We make every attempt to borrow the material from a library that does not charge a lending fee. When charges are incurred, they usually range between $15.00 and $25.00 per request. Any invoices for charges will either accompany the interlibrary loan material or will be mailed later. In the comments field indicate “Please ship to address provided.” If this note is not included, the materials will be held at the Circulation Desk for the student to pick up.

4. Renewing books from Lehman Library or PALCI/EZBorrow: Undergraduate students and high school students taking a Shippensburg University course are permitted one renewal on materials charged out of the Lehman Library; graduate students are permitted two renewals for Shippensburg University Books. PALCI/EZBorrow books may be renewed one time. You may use the self-renewal feature of PILOT by selecting the Renew A Book link on the library’s home page, library.ship.edu. Self-renewals must be done at least one day before the due date. If you have problems, email your request to libcirc@ship.edu and specify that you are a distance learner. When requesting renewals by email, you need to provide your University ID number (22403…) as well as the barcode numbers for the items you have borrowed.

5. Renewing Interlibrary Loan books: When requesting a renewal on interlibrary loan materials click on View/Renew Checked Out Items in ILLiad. Renewals for interlibrary loan material are allowed only with the approval of the lending library. You should make a request for renewal of interlibrary loan material as soon as possible in order to allow lending libraries time to consider the request before the material becomes overdue.

6. Returning borrowed materials: Interlibrary loan books and E-ZBorrow books must be returned to Ezra Lehman Memorial Library by the due date indicated on the material. Books may be returned via the U.S. Mail or by United Parcel Service (at the student's expense) or in person to the library. Material returned through the mail must be packaged so as to avoid damage. If we determine that materials were damaged due to lack of protective packaging, you will be charged replacement costs for books. When you return material by mail, we advise you to retain the receipt for verification of return and to avoid being charged for replacement costs for lost materials.

7. Using other libraries: Shippensburg University students may take advantage of a reciprocal agreement that allows them to use the collections of a number of libraries in central Pennsylvania. ACLCP (Associated College Libraries of Central Pennsylvania) Libraries allow Shippensburg students to work at their libraries and charge out a limited number of items. Students must present their Shippensburg University ID card when they apply for an ACLCP card at a participating library. ACLCP includes the following colleges and universities: Albright College, Alvernia College, Bucknell University, Dickinson College, Dickinson School of Law, Elizabethtown College, Gettysburg College, Harrisburg Area Community College, Kutztown University, Franklin and Marshall College, Juniata College, Lebanon Valley College, Lycoming College, Messiah College, Millersville University, Penn College of Technology, Penn State Harrisburg, State Library of Pennsylvania, Susquehanna University, U.S. Army War College and Military History Institute, Wilson College, and York College.

If you are closer to another KLN or ACLCP library, you will be able to use your Shippensburg University ID to borrow material from that library. Shippensburg University students may not initiate interlibrary loan requests through ACLCP libraries or other KLN libraries. Also, your local public library will most likely provide you with interlibrary loan service, which you may find more convenient and cost saving than interlibrary loan service through Shippensburg University. If you choose to do it that way, ask them to identify you as a Shippensburg student.

8. Help with finding information: You may contact the librarians for assistance in locating information by voice (717-477-1474)or by email through "Ask Us" on the homepage. In addition, on our homepage under "Subject Guides" you will find online help guides. When looking for a specific person to contact, check under "Staff Directory" on the homepage.
