RESIDENCE HALL CHECK OUT

University on-campus residence halls will close for the academic year at Friday, May 5, 2023 at 6PM. Please review the instructions and details below for a successful departure from campus.

PREPARE YOUR ROOM

  1. Put the room in order with all University furniture in proper place. 
  2. Un-bunk bed and/or adjust the bed to a height where 4 rungs are showing above bed springs. 
  3. Clean room and floors, remove trash, remove posters, push pins, hooks, etc.  
  4. Clean interior and exterior surfaces of the room door. Remove stickers, double-sided tape and other sticky items applied to the room (do not try to scrape the double-sided tape off the wall because it will cause damage to the paint).  
  5. Remove all personal items from your room. The University does not have space for storage of student belongings over the summer months. The University cannot guarantee the security of items left on campus. 
  6. Close and lock windows with blinds down and open.  

CLEANING AND DAMAGE

Residents are responsible for cleaning their own student rooms. Residence hall staff will take photos to document the conditions of each room. These can be used in considering the billable fees for student room damage and uncleanliness.

Please remove trash as early as possible. Take these materials (rugs and other large items) to designated trash rooms. DO NOT sweep materials from your rooms into the hallways or stack trash in the hallways or stairwells.

CHECKING OUT WITH A STAFF MEMBER

  1. Report to the hall desk and inform the RA on Duty that you are ready to check out.
  2. The RA will accompany you to your room for an initial inspection of that room and have you sign your check out form. The form should be reviewed item by item by you and the RA in case there are questions related to potential damage assessments.
  3. The room should be locked in the presence of the RA responsible for checking you out and the key returned to the front desk.
  4. A final room inspection will be conducted by your Residence Director following your departure. The inspection will determine final damages and billing costs.
  5. It is the responsibility of each individual student to return their room key.

MAILBOX KEYS

All residents must return UPS mailbox key DIRECTLY to the UPS Store at the CUB, even if they are returning to the residence halls next year. Residence hall staff will not take UPS keys. If you return your mail key through the express check-out process, you may be billed for a replacement key. Do not leave your mail key with anyone other than the UPS Store staff at the CUB. Do not leave your mail key with your roommate or residence hall staff to hand in for you. The replacement cost for mail keys is $25.  

EXPRESS CHECK OUT OPTION

If you wish to use the Express Check-Out system in your hall, please pick up a form from your front desk or RA. Return your room key in the provided envelope with the Express Check Out form and place it in the Express Check Out box at the front desk. This will allow you to return your room key and waive your right to be present during the room inspection. By participating in the express check out process, you still have the right to appeal any charges billed to the account.

As a reminder, please do not submit your UPS mail key in the express check out process. You will be billed a $25 replacement fee if you leave your UPS key in an express check out envelope.

STAY LATE REQUESTS

University on-campus residence halls will close for the academic year at 6:00PM, Friday, May 5, 2023.

Any resident needing additional time or needing to stay beyond Friday, May 5 at 6:00PM for university related business, graduation, etc. must request approval by filling out the following request by Wednesday, April 26 at 4:30PM. Any requests submitted after the deadline may not be approved. 

Please note that submitting a request does not guarantee that you are approved to stay past 6:00PM, Friday, May 5, 2023. If approved, you will receive a confirmation email. It is the student's responsibility to find other accommodations, and still depart from the residence halls at 6:00PM, Friday, May 5, 2023, if the stay late request is denied.

SUMMER HOUSING ON CAMPUS

Beginning Sunday, May 7 until Friday, August 25, summer housing/meals will be billed at a weekly rate to students staying on campus. A meal plan is required when staying in on campus summer housing. Summer housing is available to students enrolled in summer courses or who are completing research or an internship in the immediate area. To request summer housing, please complete the following survey by Wednesday, April 26 at 4:30PM.

From Sunday, May 14 – Saturday, June 24 summer housing will be in McCune Hall. From Sunday, June 25 – Saturday, August 12 summer housing will be in McLean Hall. The timing and location of transition housing between spring semester and summer will be communicated to students permitted to stay.

Students living on campus for Summer Term A can keep their UPS Store mail keys and will not be charged for not returning them for the spring semester.   

RETURNING STUDENTS FOR FALL 2023

Fall 2023 move-in instructions will be emailed to all residents in Summer 2023.
