Proxy Access

Students have rights under the Family Education Rights and Privacy Act (FERPA) related to their education records.  FERPA limits the release of non-directory student information without the student’s explicit consent.  Shippensburg University students may grant others, such as parents, guardians, employers verifying grades for tuition reimbursement purposes. etc., permission to access certain information in self-service Banner.  This is referred to as granting proxy access, and the person to which the access is granted is referred to as a proxy.

Proxy access is controlled exclusively by the student.  The student is responsible for setting up access, controlling the date range the access is in effect, and the information the proxy can view.  A proxy can view information, but the proxy cannot make any updates to the information on behalf of the student.

Any questions or concerns related to access as a proxy should be discussed with the student.

Proxy Access Student Instructions

Students have exclusive control of the set up and maintenance of proxy access.  Students control who has access, the timeframe within which they have access, and the information they may view.  The university is not permitted to grant access or modify existing access for a student.

NOTE: A student’s preferred/chosen name is displayed to all proxies.

Proxy Access Proxy Instructions

Proxy Access for Financial Aid Information

For security purposes, your student must initiate the process to set up account access as a proxy and/or authorized user. Once assigned, the Proxy will be able to view student information such as financial aid information and academic information. The Proxy will also be given permission by the student via the Passphrase (created by the student) to discuss viewable content with Financial Aid.

FERPA rules apply and the Passphrase does not permit the Financial Aid Office to disclose FAFSA information to non-custodial parents. Students must sign a Financial Aid Release of Information Form for the non-custodial parent to speak with Financial Aid, which can be located under our Forms links.

Proxy Access Student FAQs

The purpose of proxy access is to allow a student to give someone else (typically a parent, guardian, or employer in need of grade information for tuition reimbursement purposes) limited access to view student information as a proxy or guest of their account.

No, the proxy is unable to change any information.  If the proxy feels any information is incorrect, they must contact the student, and the student will need to resolve the issue.

You must be an active student, with access to the myShip Experience portal, to set up proxy access.  New first-semester students will have access once they have confirmed their intent to attend by paying their tuition enrollment deposit. 

You will need the individual’s name and email address to set up proxy access.  Access to information is specific to each proxy.

The proxy will need to navigate to the log in screen at https://studentssb-prod.ec.passhe.edu/StudentSelfService/login/auth?mepCode=003326.  They will enter the email address associated with their access and click on the Forgot Password link.  For detailed instructions, visit proxy access proxy instructions.

A student may also initiate the password reset.  For detailed instructions, visit proxy access student instructions.

A student may assign a passphrase to their proxy to allow the proxy to identify themselves as a valid proxy so they may speak to designated offices at the university on the student’s behalf. 

For a proxy to be able to speak with a designated office, the following is needed:

  • The proxy must confirm their name and email address provided by the student when establishing the access.
  • The proxy must have been granted access by the student to the information to be discussed.
  • The proxy must provide the passphrase exactly as the student designated.

Delete the account associated with the wrong email address and create a new account using the correct email address.

Yes, it is 120 minutes.  After that time, you will need to log back in.

No, once the student is coded as “inactive,” access to all student information is deactivated.

Check your proxy permissions each semester you are an active student to ensure they are correct.

Proxy Access Parent/Other FAQs

Access is granted by the student.  Once the necessary steps are completed by the student, the proxy will receive email notification they have been granted access.

Once a student sets up proxy access, the proxy will receive email notification they have been granted proxy access.  The email will include instructions on accessing the proxy system, as well as a temporary password.

It can take some time for the email notification to come through to your email account. 

Check your spam or junk folders in your email account to see if the emails were automatically routed to that folder.  If you are still unable to locate the email notification, check with the student to ensure the correct email address was used.

Reach out to the student and ask them to reset your password.  You will then receive another temporary URL to be used to activate your proxy access.

Yes, more than one student can set up proxy access for the same person at the same time.  This is common when a parent has more than one student attending the university at the same time.

If you lose your passphrase, reach out to the student.  The student is the only one that will be able to provide this information.

Should you need assistance, you should contact the student.  The student has access to the same pages you will be viewing, so they will be your best resource.

You will need to reach out to the student.  The student will need to delete the account associated with the old email address and create a new account using the correct email address.
