What is the purpose of proxy access?
The purpose of proxy access is to allow a student to give someone else (typically a parent, guardian, or employer in need of grade information for tuition reimbursement purposes) limited access to view student information as a proxy or guest of their account.
Can a proxy change anything via proxy access?
No, the proxy is unable to change any information. If the proxy feels any information is incorrect, they must contact the student, and the student will need to resolve the issue.
When can I set up proxy access?
You must be an active student, with access to the myShip Experience portal, to set up proxy access. New first-semester students will have access once they have confirmed their intent to attend by paying their tuition enrollment deposit.
What information is needed to set up proxy access to my student records?
You will need the individual’s name and email address to set up proxy access. Access to information is specific to each proxy.

What do I do if my proxy forgets their password?
The proxy will need to navigate to the log in screen at https://studentssb-prod.ec.passhe.edu/StudentSelfService/login/auth?mepCode=003326. They will enter the email address associated with their access and click on the Forgot Password link. For detailed instructions, visit proxy access proxy instructions.

What is a passphrase?
A student may assign a passphrase to their proxy to allow the proxy to identify themselves as a valid proxy so they may speak to designated offices at the university on the student’s behalf.
For a proxy to be able to speak with a designated office, the following is needed:
- The proxy must confirm their name and email address provided by the student when establishing the access.
- The proxy must have been granted access by the student to the information to be discussed.
- The proxy must provide the passphrase exactly as the student designated.
What should I do if I enter a wrong email address for a proxy?
Delete the account associated with the wrong email address and create a new account using the correct email address.
Is there a time limit on Student Self-Service Banner (SSB)
Yes, it is 120 minutes. After that time, you will need to log back in.
If my student status is “inactive,” will the proxy have access to student records in the Proxy Portal?
No, once the student is coded as “inactive,” access to all student information is deactivated
How often should I update Proxy permissions?
Check your proxy permissions each semester you are an active student to ensure they are correct.
Proxy (Parent/Other)
How do parents and others obtain proxy access?
Access is granted by the student. Once the necessary steps are completed by the student, the proxy will receive email notification they have been granted access.
How do I know if I have been granted proxy access?
Once a student sets up proxy access, the proxy will receive email notification they have been granted proxy access. The email will include instructions on accessing the proxy system, as well as a temporary password.
What should I do if I have been set up as a proxy but I haven’t received email notification?
It can take some time for the email notification to come through to your email account.
Check your spam or junk folders in your email account to see if the emails were automatically routed to that folder. If you are still unable to locate the email notification, check with the student to ensure the correct email address was used.
What do I do if I did not activate my proxy access prior to the temporary URL I was sent expiring?
Reach out to the student and ask them to reset your password. You will then receive another temporary URL to be used to activate your proxy access.
Can a proxy have access to more than one student account?
Yes, more than one student can set up proxy access for the same person at the same time. This is common when a parent has more than one student attending the university at the same time.
What do I do if I lose my passphrase?
If you lose your passphrase, reach out to the student. The student is the only one that will be able to provide this information.
Who do I contact if I have trouble understanding the student’s record?
Should you need assistance, you should contact the student. The student has access to the same pages you will be viewing, so they will be your best resource.

How do I change my proxy email address?
You will need to reach out to the student. The student will need to delete the account associated with the old email address and create a new account using the correct email address.
Which browser should I use?
Use of Google Chrome, Mozilla Firefox, Apple Safari, and Microsoft Edge are supported by the vendor.
